Job Description
POSITION: Administrative Assistant
REPORTS TO: Store Supervisor
SUPERVISION GIVEN TO: N/A
PURPOSE: To assist with collating proper documentation, cashing, contract updates, maintenance of stationery/equipment and submittals to filing room
PRINCIPAL ACCOUNTABILITES:
• Verifies information on ready finance accounts submitted by the sales team (e.g. Credit spend limit, cash value, signatures. documents, etc.) before the approval and sanctioning of credit contracts to ensure maximum conversion on sales and reduction in cancellations
• Updates and follows up with service request files to provide after sales customer service for repairs and liaises with customers to ensure collection of repaired items to ensure stock management compliance
• Validates cashier’s daily reconciliation for accuracy using deposit bags, slips, returns, refund and ensures signatures are attached before submittal to filing room to ensure accuracy of end of day reconciliation and document retention
• Assists in processing updates to customers account as received from supervisor/manager to reduces cancellations
• Relieves cash and manages paid and taken sales, accumulates funds for disbursement of cash loans to ensure efficient disbursement
• Reviews all contracts, promissory notes, delivery notes and cashier daily reconciliation for management signoffs and prepares movements to filing room as per process document to ensure accuracy in document retention and reduce management risk
• Ensures all stationery and equipment are properly utilized and ordered as needed to reduce cost
• Performs calls on delivery reports as advised by manager/supervisor to ensures customer satisfaction and increases deliveries
• Perform any other related duties that may be assigned to you in an efficient and effective manner to mitigate pending jobs that need assistance to resolve
JOB SPECIFICATION:
QUALIFICATION/EDUCATION AND EXPERIENCE:
• Five (5) GCE/CXC/CSEC Ordinary level passes subjects including Mathematics and English
• A minimum of one (1) years relevant experience in an administrative role
• Experience as a proficient Cashier would be an asset
